How to collect pledges at an event (without losing a third of them).
The pledge is made in a second and lost in the logistics. Here’s how to capture every promise in the room — and why the collection method you choose decides how much of the goal you actually bank.
Why pledge collection is where events leak money.
A donor deciding to give is the hard part — yet most events make the easy part hard. Paper cards get lost, handwriting gets misread, "I’ll sort it at the desk" never happens, and pledges typed up on Monday are already going cold.
Every extra step between "yes" and "captured" costs you donors. The goal: capture the pledge within thirty seconds of the decision, at the seat, with no queue.
The methods, compared.
Four common ways to collect pledges in a live room:
- Paper pledge cards — familiar, but slow to process and easy to lose; expect real attrition
- Payment desk / EFTPOS queue — captures payment well but kills momentum; queues shrink generosity
- Roaming volunteers with tablets — good for called-out pledges, limited by volunteer count
- QR pledge forms on every table — guests act at their seat in seconds; the room never stops; every pledge lands digitally, instantly
Set the room up for QR pledging.
Put the QR code where the decision happens: a card at every place setting, the code on the big screen during the appeal, and on the program. Guests scan, choose an amount, and either pay instantly with Apple Pay or Google Pay or pledge to pay later.
Keep volunteers for what humans do best — helping less phone-comfortable guests and capturing cash or called-out pledges into the same system.
Make pledges visible the moment they land.
Capture and celebration compound each other. When each pledge appears on the live display — first name, amount, total climbing — the room sees that action works, and more hands go up. Silent collection wastes half the value of the pledge.
A pledge captured is not a pledge collected.
Pay-later pledges are promises, and promises need systematic follow-up. Feed every captured pledge into automated recovery — gentle SMS three days later, one-tap payment email, reminders until paid — and the difference between 70% and 95% collection is yours.
